What’s included:

Full-service coordinating, pre-planning, consultations and services from the moment you start to plan your magical event.

Up to fourteen (14) months of event or wedding planning

Budget Planning and Management

Initial meeting with Parties or couples to discuss vendors, wedding style and vision for the wedding day or event. 

Following this meeting, couple will receive: 

A custom vendor list to help bring together your wedding dream team or event team

Planning guideline to help you stay organized during the planning process

Begin a Events by Vision group text message with clients

Events by Vision will:

Check vendor availability and virtually introduce the Parties or Wedding Couple to each vendor

Communicate to vendors throughout the planning and cc the Parties or Wedding Couple on emails (Events  by Vision will never sign any contracts, all contracts will be signed by the wedding couple or Parties)

Review vendor contracts and negotiate where applicable

Provide vendor payment reminders to Parties or Wedding Couple

Review print material (editing and punctuation review not included)

Attend key design vendor meetings that typically include: floral, stationary, rentals and additional  meetings that pertain to design and first menu tasting at venue (*San Diego only and based upon Events by Vision’s availability)

Event styling/creative direction 

Access to Events by Vision inventory – all items are subject to change based upon availability and current condition  of the items

Events by Vision will partake in vendor mock-ups (if applicable based on vendor contracts)

Provide useful documents to assist in the creation of seating charts – the parties or wedding couple will be  responsible for grouping and seating their guests for the reception or event.

Events by Vision will create an event timeline or wedding day timeline, and diagrams and review banquet event  orders for the parties or wedding couple to sign

Events by Vision and professional design team will create and distribute a thorough event timeline on wedding day

Present timeline to your vendors approximately five days prior to the event or wedding date

Coordinate your beautiful event or wedding day (specific times will be outlined as final day of timeline is  established) and will be communicated to the Parties or couple in advance

On your event date or wedding date, Events by Vision will provide the following on your event date or wedding  date:

Up to ten hours of event or wedding day coordination. If additional time is required or requested an hourly  rate of $200 will apply

Manage and execute all timing for the event or wedding day, as outlined in the timeline (*timeline will be  approved by the parties or wedding couple and the Events by Vision and Design professional planner)

Assist and execute ceremony and reception setup and decor according to discussions and diagrams

On your wedding day or event depending on the size of your event, minimum 1-2 coordinators are provided to take care of your day from start to finish.

Execute placement for programs, table numbers and place cards/escort cards

Oversee personal flowers for parties or bride, groom, wedding party and family

Throughout the event or wedding day, periodically check in with the parties or wedding couple

Cue ceremony musicians, family and wedding party timing and direction

Communicate to catering and banquet staff, the timeline of events

Cue toasts, speeches, photographer and musicians for scheduled events

Distribute final vendor payments and gratuities that will be provided by the couple or parties
